Job Description

 

The SLHS Office Manager updates Computer Database, assists with travel arrangements, prepares and distribute reports, correspondence and other documents, provides substitute coverage as requested by immediate supervisor, handles internal and external telecommunications by receiving and relaying calls and answering routine inquiries,  drafts routine correspondence, maintains and update files and records, cumulative records and  student attendance records, tabulates and posts data, assists other office personnel, schedules and arranges for meetings and schedules, and maintains calendars, supervises Student Aides, receives and relays visitors to the office as appropriate, handles routine paperwork by sorting, routing, gathering signatures and follows through on various dispositions,  maintains supplies and materials for office and receives   deliveries and assists in maintaining annual equipment inventory. 

 

Candidate assists with 40, 80, and 120 compliance data, develops and maintains student records, registrar, and HR functions, works with financial director to create and develop internal controls.


Main Responsibilities

 

 Financial Reporting


  • Monthly bank reconciliation

 Purchasing and Accounts Payable


  • Submit Requisitions to School Head
  • Enter approved Requisitions in APTA

  • Collect W9 forms

  • Verify time reported for services by vendors

  • Enter invoices upon receipt of items and/or services
  • Print warrants for School Head to sign

  • Mail signed checks
o Maintain purchasing and accounts payable files

 Payroll


  • Collect time sheets, verify time reported, and delivery to Business Manager

 Cash receipts


  • Collect cash and issue receipt
  • Deposit cash

  • Enter cash receipt in APTA

  • Maintain cash receipts documentation

 Human Resources


  • Collect HR forms from new personnel and deliver to Business Manager
  • Maintain HR files

 Auditing


  • Provide samples and requested by auditor

 PED Data Reporting
o Staff 40th, 80th, and 120th data entry

  • Ancillary FTE 40th, 80th, and 120th calculation and entry
  • Capital Outlay
  • Provide backup for quarterly lease reimbursements to Business Manager
  • Grants Management
  • Provide backup to Business Manager for RFR’s  Fixed asset management
  • Maintain fixed asset listing with governmental accounting standards o

Annual asset inventory

 

Maintaining food service paperwork and compliance.

 

Registrar

  • Maintain student files
  • Registration of new students
  • Transcript requests
  • Data entry

 

Strong interpersonal skills

 

Other duties assigned by Executive Director

 

Preferred Qualifications

 

Two to three years of clerical experience, maintains a complex filing system, word processing skills, working knowledge of Student Information System preferred, effective communication skills, both verbal and written, flexibility, organization, decision-making and problem solving skills, interpersonal skills with diverse populations in-person and on the telephone, computer, business English and basic mathematics skills, proficient with word processing, database, spreadsheet and/or other software as required by supervisor, ability to meet deadlines and work on multiple projects, computer, business English and basic mathematics skills, ability to accurately  keyboard 40 WPM minimum.

 

 

Compensation

Salary and benefits are competitive and dependent upon prior experience.
