EMS PTA MEETING

March 12, 2008

In attendance:            Juli Koleske, Lisa Platzbecker, Cindy O’Niell, Delma Madrigal-Wiseley, Debbie Hamilton, Maureen Gonzales, Marilyn Gruen, Paula Slavin, Ross Davis, Kathy Cocks, Shelly O-Hea, LeAnn Stubbs, Debbie McCullough, Betty Barela, Susan Donahoe, Katherine Crannage, Jennifer Mickelson, Susan Ellenwood,

Called to order: 9:05 AM

Secretary’s Report: The minutes from the February meeting were reviewed and accepted.

Administrator’s Report:

Debbie Hamilton reported the following:

Testing is now finished with the exception of make up tests.  Response to extending the testing period over two weeks came with mixed reviews from staff, students, and parents with pros and cons to both sides.  The school is expected to receive a one page school report regarding the testing sometime in August, 2008.

Today the school will have a practice IC visit which is intended to provide an internal evaluation prior to the upcoming IC visit as part of the District Standard Site Review.  The formal visit will also include interviews with a teacher and three students, but that will not be part of today’s evaluation.

Mrs. Hamilton asked the PTA to revisit the goal for parent involvement as stated in the EPSS (Education Plan for Student Success).  She does not feel that the current goal for parent involvement, which is determined by the number of hits to Grade Book Wizard, is a good measurement.

Eisenhower is getting a new web page which will save the school $8000-$9000/year with a cost of approximately $200/month.  Several staff members have volunteered to help manage the web page and keep it current.  As this progresses, Mrs. Hamilton will provide contact names so the PTA can submit information.

Mrs. Hamilton gave mention to a possible 7% cut to departments as reported to her at the principal meeting last night.  She was off to attend a budget meeting at APS later in the day for specifics on the current budget.

When questioned about transfers for the next year, Mrs. Hamilton explained the transfer process and a limited number of spaces in the upcoming 8th grade class due to current size of 7th grade class.

Parents expressed concern over grades not posted on Grade Book Wizard for a specific 7th grade math class with no new postings since 2/11/08.  Mrs. Hamilton asked parents to email her regarding this and assured them she would check into it.

Starting Monday students who receive ISS/OSS will not be eligible for year end activities.  Apparently lasers tend to be an issue in the spring, which Mrs. Hamilton specifically addressed and asked for parents to remind their students that they are not allowed in the school.

IC voted on collaboration dates for next year with 1 day/mo, except for March.  This would be a late start day, allowing teachers time to meet and work together.  This mildly affects start time by two minutes.  The school is waiting on the district to set In-service days prior to setting collaboration dates.

When asked about staff changes for next year, Mrs. Hamilton did not foresee any teachers leaving.  She did announce the forthcoming retirements of Kathy Hoover and Carolyn Hudson.

Finally, Ms. Hamilton verified the email sent announcing the make up snow day in May, making the last day of school Thursday, May 22, 2008.

Teacher Representative:

Linda Heckes had no report to give.  She confirmed when asked about the date for staff meeting that it would be the first Monday of April.

Budget Updates and Requests:

Treasurer, Lisa Platzbecker, discussed the current treasurer’s report as presented to the membership.  Paula Slavin gave a motion to approve the report and this was seconded by Ross Davis.  All were in favor.  The motion passed.

Lisa provided a copy of a memo available to teachers for funds requests from the PTA.  These requests where presented to all members through photocopies of the actual requests and through a side-by-side comparison of projects completed the previous year, developed by Lisa.  Following discussion, Lisa proposed to table everything requested with the exception of basketball bags for the girls’ team.  Lisa would like more time to research these needs and verify EMS ability to cover some or all of the other needs.  Lisa proposed to accept the application for girls’ basketball bags to the cost of $23.00.  Paula Slavin moved to accept the proposal and Jennifer Mickelsen seconded the motion.  All were in favor and the motion passed.

Open discussion followed on the availability of grants for supplies and question of APS support for materials and equipment.  Suggestion was made to update the request form for teachers to include an explanation of other resources sought to purchase items.

Renaissance Math:

Delma Madrigal-Wiseley reported that the attendance numbers were down last week, likely due to testing.  She also reported that three Eldorado High School students have volunteered to tutor for this program.

Nomination Committee Report:

The Nominating Committee gathered all volunteer lists (Student Store, Front Office, Newsletter Distribution, and PTA Members).  Toni De La O, Susan Donahoe, and Betty Barela split the lists and called each person to inquire if they would be interested in filling these positions.  They also got chair descriptions from the current chairs so that they could explain or forward on to those interested.  They sent out mass emails to the three elementary PTA Presidents to forward to their PTA members.  7 out of the 9 priority chairs were filled with nominations as a result of their efforts.  The slate for 2008-09 is as follows:

            President – Juli Koleske

            Treasurer – Lisa Platzbecker

            1st Vice-President – Ross Davis

2nd VP – Cindy O’Niell

Secretary - LeAnn Stubbs

Newsletter Editor: Felicia Duran

Student Store Coordinator: Maureen Gonzales

Student Store Purchasing: Elisa Baca and Marilyn Gruen

Student Store School Sale: Ann Campbell

Library Support: Nicole Kelly

Teacher Appreciation: Michelle Jones

Chairs still vacant include Magazine Fundraiser and Front Office Volunteer.

Newsletter:

Deadline for next issue is 3/14/08.  Juli Koleske also reported approval of an article which in turn was an advertisement for a sports camp from a local high school.  Discussion followed with an understanding that such camps are for profit and should be charged the advertisement fee.  This information would be relayed back to the party submitting the advertisement.

Committee Reports:

IC:

Retreat set for 5/2/08 with location unknown at this time.  Juli agreed with Mrs. Hamilton’s concern over the EPSS goal and feels that setting an appropriate goal should be a priority for EMS PTA as a demonstration of our commitment to be actively involved and the value of parent input.  She sent a sign-up sheet for names of those willing to sit on a committee to write this goal.  Also noted was Paula Slavin’s experience with IC last year. The number of hits on Gradebook Wizard was chosen as a measure of parent involvement; however, parents on the committee desired a more innovative method to get parents involved in their children’s education. This will be the goal of the committee when they meet with Debbie in April.

8th Grade Social:

Helen Pino stated that Student Council will meet soon to determine the theme.

Clothing Bank:

Another donation push is forthcoming.  This will be promoted prior to Spring Break and a great time to change over the wardrobe and pull out clothes.  Timing will align closely to April 15 and tax day.

Staff Appreciation:

Shelly O’Hea hopes to cater two more lunches in April and May.  She is checking into a Chinese lunch and an Italian lunch.  She also mentioned a possible boxed-lunch the last week of school.

Student Store:

This committee is covered and set for next year, including the supply sale.  Ann Campbell has requested one more volunteer to help with the supply sale.

Book Fair:

Nicole Kelly will serve as Library Coordinator for next year which will help with staffing for Book Fair.

Box Tops:

No report.  Question was raised as to whether parents can place collected Box Tops in an envelop and label envelopes with student name and home room and place them in the box in the office for credit since these envelopes aren’t making their way to school.

NM Education Committee:

Delma Madrigal-Wiseley discussed her experience at the last NM Education Committee meeting.  Many on the Taskforce expressed concern over the lack of clarification with the High School Assessment and Graduation Requirements, Parent Options and Math Credits, Clarification of Course Criteria, and the Timeline for various legislation.  Specific questions were outlined for Veronica Garcia, NM Secretary of Education, in response to these concerns.  Delma relayed the discussion on each of these topics from the committee meeting and provided an outline as well as the Fiscal Impact Report for College & Workplace Readiness Assessment.

Parents expressed concern that these changes reflect a lower standard for students.

Next Meeting:

April 9, 2008, 9:00 a.m. in the Media Center.

There being no other business

Meeting adjourned at 10:35 a.m.

Respectfully Submitted,

LeAnn Stubbs

EMS GENERAL PTA MEETING

February 13, 2008

In attendance: Juli Koleske, Lisa Platzbecker, Debbie Hamilton, Beth Beal, Michelle Niell , Toni De La O, Ruth Jardin, Maureen Gonzales, Lisa Childress , Ross Davis, Betty Barela, Susan Donahoe, Paula Slavin, Marilyn Gruen

Called to order: 9:05 AM

Secretary's Report:

The minutes from the January meeting were reviewed and accepted.

Administrator's Report:

Debbie Hamilton reported the following:

The admin staff in the office share duties. There are areas that are specific to each individual. Kelly Lee, Principal Secretary, is responsible for general ordering, substitutes and bookkeeping. Peggy Fleetwood oversees general office, locker distribution, student aides and is there mornings only. Gwynn Clear, retired Principal Secretary, is in the office on contract dates.

The District Standard Site Review will be on April 30th. District Personnel will visit classrooms. This is not an evaluation, but where we are on Standards Implementation. There will be a Rubric/Matrix given to EMS staff prior to that date. EMS will have a debriefing for the IC / Admin staff that day after school.

The SBA Testing will be February 25-29 and March 3-7. No testing will occur on the 2nd Tuesday. Math and Reading will be the first 6 days, off Tuesday and then the remainder Wed-Friday with school dismissal early on Friday. Friday afternoon the staff will discuss the Response Intervention. A letter will come home with details of the testing dates.

On Monday, February 11, Debbie was attending a Mid School Redesign Meeting, to learn more about the required collaboration time for teachers and how other schools are handling this requirement. Nine of the 6 school were Title I so they receive much more funding than we do so it was a very different environment than our school.

The Cafeteria services manager Michelle told Debbie she would like to have parent volunteers. Juli asked Debbie about the Snack bar. Discussion about being paid by the staff was unclear. Debbie shared with us the Dept of Agriculture history and mandates regarding schools receiving a portion of the cafeteria funds. Currently, all monies go directly back to Cafeteria Services. PTA will discuss with Michelle what the specific needs are and see if what the next step should be.

If we have an early dismissal with a snow day, Debbie reminded everyone to tell parents to know how they signed their early dismissal form. If it is pickup, they must go to the first period teacher to obtain their child.

8th grade promotion day has been moved to May 21st due to Snow Days.

Due to the enormous amount of behavioral referrals the admin have received first semester (1200) they have decided that if any student receives in school or out of school suspension admin has the right to remove a student's privilege of attending the Dance Social and then if they continue to have referrals they will lose the privilege of the Activity Day (7th and/or 8th graders). Debbie asked us to share with the community that these are privileges and not rights and will be taken away from students who have not earned them.

WEB training and new staff is something the admin staff is dealing with right now. The lead staff member will be moving and so the admin is hoping to stir renewed interest into the program for August 2008. The admin would like to ask the PTA to consider funding a portion of the training. Debbie will obtain these details and get back to the PTA.

Debbie told us that APS has not closed the applications for the new APS Superintendent yet, and that interviews are to begin in March.

Treasurer's Report

Lisa Platzbecker reviewed the budget. Lisa requested an amendment to reflect real numbers. A second motion was given by Paula Slavin. All were in favor. The motion passed. Lisa shared with everyone that at this time of year, the PTA is usually able to identify extra funds available in the budget for the Projects to be Decided category. In the past we have had the privilege of funding such projects as

Audiovisual Carts, Band Equip, Home Ec supplies, Lang Lit Reader Mags, Lathe, Library DVD/VCR combos, books, overheard projectors, Paper cutter, PE Equipment, misc social studies supplies and smart board.

We are hopeful to be able to fund as many requests as possible. The requests will be granted on the following criteria: Factors to be considered include the stated purpose and objectives of our PTA, the number of children directly affected by the proposal, and the directness of the affect on the children. Only those expenses which are for goods directly consumed or distributed by/for Eisenhower Middle School Students or services directly benefiting students shall be considered for eligibility for reimbursement. All requests will be brought to the general membership each month for vote and approval.

Teacher Rep Report

Linda Heckes said there was no report to be given

COMMITTEE REPORTS AND OTHER BUSINESS

Renaissance Math Program

Beth Beal shared that this program is a true cross section of students at EMS from students that are below grade level, at grade level and above grade level. Some students did not return and another few who just started this semester, so we have approx. 50 students in the after-school program. Tutor and Student ratios seem to be ok at this point. We have 5 parents/staff on Tuesday and Wednesday, 4 on Thursday.

Reviewing the Student Record Report will be our goal-setting portion with the students. Student Record Reports have Mastered Objectives and Active Objectives. We also printed out certificates for all the students acknowledging how many Objectives they have learned/mastered. We will be discussing the Student Record Report and handing out certificates this week.

8th Grade Social

The date has been moved from the traditional time of year in late April to Friday, May 16th for the reason of the behavioral issues spoken of above. The staff at EMS considered April to be too early because students go past mile markers and they become disengaged and behavior worsens. They feel very strongly that this change in date will help to continue the appropriate behavior until the end of school. Debbie will get the names of the teacher sponsors and the student council members to Marilyn Gruen and Toni De La O to contact and get plans started for this special end of year Dance.

Nominating Committee

Toni De La O, Susan Donahoe and Betty Barela has agreed to chair the nominating committee. The following officers currently serving would like to to placed on the nominating committee to serve a second year: Juli Koleske, President; Cindy O'Niell, 2nd V.P.; Lisa Platzbecker, Treasurer. The committee will need to fine nominees for 1st V.P. and Secretary. A list of volunteers from all committees and Job Descriptions will be given to this committee to be successful. This committee also plans to help fill any empty chairman positions for 2008-09 school year. If anyone would like to nominate someone or themselves, please contact the nominating committee.

Newsletter

Beth Beal shared the error of the printer not cutting all the papers correctly and that they will reimburse us next billing for this error. She thanked her volunteers for helping cut and then processes the mailing. Greg Hedges, our editor is retiring after this year as he is starting a new business and will not have extra time available. We will be looking for a new newsletter editor.

Shot Clinic

The nurse's office will be hosting a Shot Clinic for 6th graders. There are 67 students registered for the clinic. Juli passed around a sign-up sheet for volunteers to help out with paperwork and student support. We were able to fill the 4 slots, two in the morning, and two in the afternoon with volunteers from the meeting. Juli will give the sign-up sheet to Sally Hunter, our School Nurse after the meeting.

Press Release

Our own Woodshop Teacher, Don Gonzales won a $5000 grant from the Qwest Teacher grant program. A press release was put together to acknowledge Mr. Gonzales and many other teachers throughout APS who participated and won. Mr. Gonzales wrote a grant on a digitized Router to do 3 dimensional designs on computer and then translated to the router. Congrats!

Instructional Council

Debbie Hamilton shared that the IC is struggling with understanding the Intervention Programs required by the PED. They will have a retreat on May 2nd. The EPSS Data is coming and they will finalize on April 30th. The PTA is looking for persons to fill the chairman spots for next year. Ideally we would like 2 people to sit on this committee.

Staff Appreciation Luncheon

Hats off to Shelly O'hea for hosting a wonderful Chili luncheon. Linda Heckes said the entire staff loves these events and are very grateful for the pampering. Shelly plans to give all the teachers small boxes of chocolates from Rocky Mountain Chocolate for Valentine's Day.

Student Store

The store is in need of persons to step up and take over leadership in both the Volunteer category and the Supply category. All 4 persons working this year will be retiring as their children move on to High School. This is a great program and a fairly simple process. Please see Paula Slavin for more info.

Book Fair

Linda Heckes shared that the book fair is in Mid March. Michelle Edwards was planning to help coordinate the volunteers and prizes, but needs help with this. Linda asked for volunteers to help in all areas of the Fair, and to contact her if you are able to assist in anyway.

Box Tops for Education

Ruth Judin gave her report on the latest tallys. She presented a check to the PTA for $156.60 which was for the dimes that were donated from our students. The next turn in is February 29th. Thanks were given to the Judin family for bringing this program back to our school and making it so fruitful for the students.

HB241 Bill in Legislature

This bill is suggested that Gifted Funding be removed from Special Ed altogether. This topic is quite in depth and if you are interested in details, please contact Juli Koleske.

Security System and phone system

Debbie Hamilton said she received word that last year's legislature approved to fund an updated security and phone system for our school. It is hopeful that installation will begin very soon, probably during the summer.

check from the Earn and Learn Program. It was thought that the money could

be used for a project-to-be-determined later in the year. Albertsons sends a

quarterly check. The Entertainment Books sales has closed its books. The

Magazine sales are hoping to close out their books soon. Lisa requested

an amendment to reflect real numbers for the closed items. Paula Slavin

seconded the motion. Juli Koleske announced the amendment and asked

for a vote. All were in favor and the motion passed.

Committee Reports:

Box Tops:

Ruth Judin reported that she sent in over $300. worth of box tops. A notice was

posted on line about the contest for the box tops. For every ten box tops students

bring into their homeroom class they will be given a coupon. The coupons will be

placed in a drawing with four winning students receiving a free Blizzard from Dairy

Queen.

Cookie Exchange:

Teresa Ostrem asked for volunteers to bake threee dozen cookies for the exchange.

The teachers will each get to take home 2 dozen cookies. The exchange will be on

December 14 in the Counseling Office conference room.

Instructional Council:

Delma Madrigal-Wiseley reported that they had to prioritize the EPSS goals at the last

meeting. The Standards Based Assessments will take place beginning February 25,

2008. The reading and math portions will be administered every other day for 6 days.

There will be 2 science and writing tests in one day and the other science and writing

tests given on the last day. This new schedule will give the teachers time to give daily

lessons.

Student Store:

Paula Slavin reported that they organized and re-priced the items in the store. There

are three new chairmen for the store: Jill Simons, Beth Beal, and Bobbi Bingham.

The Student Store is in need of a large table to keep in the Store. The EMS

custodians are looking for a table that is not being used. Ginger Rivenbark said she

has a large table that she would be willing to donate to the Store.

Renaissance Math:

Delma reported that there are currently 67 students in the after school program.

There are lots of parent volunteers for help and tutoring. The program is going well

and still evolving. The Administration suggested that there be another assessment

for the 6th grade connected math to determine success of the program.

Reflections Program:

Liz Woodward is the Chair of this PTA sponsored program. The deadline for sub-

missions is November 30th. There are entry forms available in the office and on-line.

Library Services:

November 28-30. Volunteers are still needed to help. The teachers are being

encouraged to fill out "wish lists" of books that they would like for their classrooms.

The lists will be posted in the library so that parents can purchase the books to be

donated to the classroom. There will also be a drawing with the Book Fair that the

students enter. The winner will get a gift card at Borders.

Education Committee:

Delma reported that the SBA scores will now have to be made public by August 5th

each year so that any necessary changes to the cirriculum could be made. She

also spoke about the timeline for the high school redesign implementation. A

change to be implemented is that by the school year 2008-2009 middle schools

must offer Algebra I in 8th grade.

Newsletter:

The deadline for article submissions is Friday, November 16 at noon. The articles

can be e-mailed to editor@emsnewsletter.com.

looking for dates for the 2 hour classes. We will make sure that known bullies are

not in the classes.

Math Articulation Update:

There will be a third meeting next week.

Lunch Line Update:

There continues to be problems with students not having enough time to eat their

lunch before it is time to go to class. Some parents have reported that cafeteria

workers are rude to the students and difficult to deal with. One idea was to place a

large board outside the cafeteria which lists the food choice combinations available.

The students would then know what they can or cannot have with certain foods.

They would also have time to decide before they get to the front of the line. A group

of parents will get together to work on the problem. Maureen Gonzalez and Susan

Ellenwood volunteered to lead the group. They will report their findings at the Decem-

ber meeting.

Daily Announcements Update:

The band and orchestra rooms as well as the gym cannot hear the morning

announcements. The announcements will be typed up and taken to those rooms.

The teachers would be responsible to read the announcements to the students.

The announcements are still posted on the EMS website.

sponsored by St. Martins. Anyone interested in participating should contact

Teresa.

We don't have the funds available at this time however.

a Games Elective which would help with the Wellness Program. The Council is

working in educating the teachers to help them with the Writing Portfolio. The

Treasurer. Ellen Espinosa is again the Secretary.

school rules and regulations, etc. There will also be a parent meeting to talk about the

AYP test scores. The meeting will be right before the start of Curriculum Night on the 30th

of August.

She spoke about the new staff members at EMS. The student numbers are up to between

970 and 980 with all classes being full. There will have to be schedule changes to help

with the over crowding. There were some glitches in the lunch periods however they have

been taken care of. There will be no Collaboration Days this year. There are 4 state man-

dated in-service days instead. The first mini course day will be on October 12. There will

be many choices for the students.

There will be a new Writing Portfolio Group this year. Approximately once a month each

student will meet in a small group with teachers to discuss writing mechanics and look at

the writing process. Hopefully this will help improve Standard Based Assessment scores.

The students will be required to bring their notebooks each time to go over their writing.

There will be a Portfolio Night in May for parents to come and see their child's work.

EMS will begin a new math program this year with the 6th graders. Mrs. Hamilton said that

our 6th grade new math curriculum Connected Math is being aligned with the High School

math program. There was a discussion regarding Eisenhower and Eldorado communica-

ting between their math departments.

Teacher's Report:

Linda Heckes, the new teacher representative, reported that there will be a Book Fair this

fall and one in the spring. Volunteers are always needed.

Treasurer's Report:

Lisa Platzbecker went over the budget in general. The start up money that has been or

will be spent before September was voted on during the last school year. Budget revenue

will be approximately the same as last year. Expenses so far this year include WEB Day

food, teacher appreciation, student planners, and the student store. PTA membership has

198 members now and hasbrought in $975.00; with the PTA only keeping .25 for every

$5. membership. There will be projects to be decided later.

Committee Reports:

Fundraising:

Cindy O'Niell reported that Albertsons is going to a new card format for their donations to

schools. Albertson's shoppers will have to change their information so that EMS gets the

proper credit.

Magazine sales kick-off will be August 20th when the catalogs go home. This is the largest

fund raiser for the school. Last year approximately $45,000. came back to the school which

was down from the previous year. The turn-in date will be Setember 6th.

Clothing Bank:

Marilyn Gruen reported that the Clothing Bank is moving to McKinley Middle School and

needs help with the move. It will be open Tuesday-Friday from 9:00-1:00. EMS will have

a drive by clothes drop off at the school in the fall and in the spring. Marilyn offered to go to

people's homes to pick up their donations if they are unable to get to the school.

need of a chairperson to take over.

Health and Safety:

This committee also needs a chairperson.

books. Lisa has the report.

The new editor this year is Gregory Hedges. People who wish to submit articles for the

news-letter can e-mail him at: gregoryhedges@comcast.net. The deadline for the

September newsletter is August 17, 2007.

Staff Appreciation:

Shelly O'Hea reported that there will be 2 catered luncheons for the staff and 2 she will

need parent help. We will also do the cookie exchange this year for the staff in December.

We will need lots of parents help in baking enough cookies for our staff.

Accelerated Math:

Delma Madrigal-Wiseley has been looking into this math program for our students. It is a

work at your own pace math program. Each student takes a pre test to determine which

level they would start at. They complete work sheets that are geared specifically for them.

The answer sheets are scanned and scored. The student would move on to the next level

when they score 100%. Any questions that the student had difficulty with would be identified

and they would receive another page with new problems that target the problem area.

There would be parent reports so that parents could monitor the progress of their child. This

would not be a mandatory progam. The thought would be to offer it in the Choices Program

to start. It was thought that it would be a great addtion to the math classes at some point in

the future. There would be a $950. school fee as well as an annual student fee. There will

be a training from the Accelerated Math company on September 17. Tonya Abernathy and

perhaps one parent will attend. There was a great deal of enthusiasm from the parents at the

meeting for this program. It was felt that it would be a positive addition to our math program.
