The principal or designee will identify obsolete, damaged or worn out books and submit the inventory copies to the Instructional Materials Office of Materials Management. The Instructional Materials Office will provide inventory instructions at the appropriate time.
It is the principal’s/department head’s responsibility to ensure that all books boxed for discard are no longer on the State Textbook List, or that they will go off the list July 1 of that year.
Books are not to have "discard" stamped on them nor are they to have any APS identification obliterated with ink.
Two districtwide textbook disposals are held during the school year. The dates will be set by the Instructional Materials Office and principals will be notified of the scheduled disposal dates.
- In the spring and fall of each year, for 2 to 5 days, each principal will make all discards available to the students, staff, community, other educational institutions and the general public. Any books or instructional material not given away at this time will be picked up by Materials Management to be disposed of.
At least one week prior to the "give-away" the original copies of the inventory forms are to be sent to the Instructional Materials Office.
- Books to be discarded are to be enclosed in boxes labeled "discard." Loose books will not be picked up.
- At this point the school may notify students, parents or others in the community to take any of the discarded books.
The Instructional Materials Office will notify other state school districts, city parochial schools, the Bernalillo County PTA office and other non-profit organizations and the public of the availability of the books during the "give-away" times.
If after all conditions listed above are met, a surplus still exists at the end of the spring and fall "give-aways," each principal will submit a Request to Pickup form to the Instructional Materials Office, giving the number of cartons at each location and the contact person.
All forms listed in this directive are available from the Instructional Materials Office. The Instructional Materials Office is the only office authorized to dispose of instructional materials purchased with state instructional funds.
