Loaning Equipment

An APS employee wishing to borrow district equipment must submit a request to the administrator designated as responsible for the equipment, normally the principal or director of the department. The employee must complete and sign the form "Hand Receipt for Loan of APS Equipment" (AD-70) certifying that the loan is for non-business use and that the employee will assume financial responsibility for the equipment during the term of the loan.

The administrator designated as responsible for the equipment will make the determination whether to make the loan considering the following guidelines, which should also be discussed with the employee requesting the loan.

The item lent must not be used for personal gain. School property has been purchased with taxpayer funds and must be used for school purposes, not private purposes. Use of equipment and materials for private business or non-work related activities is not permitted.

All requests for the temporary loan of APS equipment must be submitted to the principal, director or administrator who is personally responsible for proper use, care, and safekeeping of public items.

All borrowed equipment must be marked with either an APS number or clearly identified as property of the Albuquerque Public School system. No unmarked equipment may be taken from the premises.

Borrowed equipment must be returned in the agreed time period. Extended loans are not permitted.

Equipment lent must be the type which can be easily transported. Requester must be knowledgeable of the specific operation of the equipment.

The materials and/or equipment shall not be lent to a third party without the written consent of the property administrator.

The borrower shall account for all material and/or equipment whenever so requested. A "hand receipt" must be signed for all borrowed equipment.

While the equipment is on loan to an employee, he or she assumes full responsibility for any loss or damage.

Equipment shall not be loaned to an APS employee if the loan will deprive students of its classroom use, or cause disruption to daily operations.
